Showing up and exhibiting are important parts of the trade show process, but the most critical step is creating the initial plan of action. Extensive planning should be done months prior to the actual event. Michelle Smith of Skyline Trade Show Tips explains why preparation is the most important aspect of the trade show process.

Review all your materials before you begin. Thoroughly read the exhibitor manual and note any specific deadlines. Be aware of the delivery dates and post-show pick up dates. If the dates fall on weekends or holidays, shipping rates will be significantly higher. Placing your orders far in advance can result in hundreds of dollars in savings. Also, be sure to track all your shipments. You’ll be able to confirm the delivery, locate your materials, or even prepare an alternative if something goes wrong.

Next, analyze the exhibit layout and your place on the show floor. Keep in mind which direction your booth will face and where electrical sources are. Island booth spaces will require a more detailed floor plan than an in-line exhibit. Creating a comprehensive layout that includes directional orientation and power lines will save your installation team a lot of hassle.

Finally, prepare for the worst-case scenario. Anything can go wrong, so it is important to be flexible and have a back-up plan for any situation. Try doing a few pre-show set ups of your exhibit to identify any possible obstacles. Set aside an emergency budget to cover any unexpected damages or replacement materials.
