How to Handle Exhibit Damages

There’s always a chance that a component of your exhibit will get damaged from the time it is shipped to setting up on the day of the event. It’s your responsibility to anticipate what could go wrong, take steps to prevent it, and know how to fix it. In her article, “Damage Control,” Candy Adams of Exhibitor Online explains how to prepare for disasters before, during, and after the show.

Prepare for dangers in the shipping and material-handling stage with a few key supplies. A sturdy crate with skids bolted to the bottom is your best bet for protection. Have drawers built in for smaller items like light fixtures, and be sure to use plenty of bubble wrap or foam sheeting. The cost of packing supplies may add up, but going the extra mile to protect your assets will help prevent potential disasters.

Be sure to take pictures of all your exhibit components prior to shipping in case of an emergency. In the event that your exhibit property does not arrive intact, take photos to document the damage. Having before and after pictures will strengthen your case when filing a claim with your insurance company. Head over to the general services contractor’s (GSC) service desk and request for a supervisor to be sent to your exhibit in order to file a formal damage claim. You may also need to contact your transportation carrier and have them investigate the matter.

Create an exhibit “First-Aid” kit for quick fixes on the day of the event. Pack permanent markers, grease pencils, and touch-up paint to fill in small chips or scratches. Use a Mr. Clean Magic Eraser pad to remove scuffs from exhibit surfaces. Bring electrical tape and gaff tape in multiple colors to cover fabric tears. Finally, back up all your important files onto a spare flash drive or external hard drive.
