Participating in a trade show can be very costly if you aren’t prepared. Not all budgets enable businesses to purchase their own trade show booths and equipment. Actually, many companies have to rent their exhibits. Some rentals are fully customizable but they can be very expensive. Companies who rent trade show booths can usually find something that works best to fulfill their needs.

Exhibitor Magazine recently published a great resource for companies that rent trade show booths. This FAQ  included pricing information on renting equipment. According to the Magazine, there are three types of rentals; Portable, Modular and Custom. Each contain their own pricing options (indicated by the chart below).

  • Portable booths are delivered and moved by hand. Usually, these can be built in 30 minutes or less.
  • Modular booths are also known as system exhibits. These rentals are a bit more extensive than portable rentals but provide more customization.
  • Custom booths are usually structures that are built from wood, metals, and a variety of other products. They provide the most options for customization.

The magazine continues, “Unfortunately, no standards exist for rental fees in the exhibit industry. Each situation and exhibit vendor has its own pricing structure.”

It’s critical for companies to keep in mind that rental pricing increases when the demand for customization increases. Multiple-use rents or build-to-suit rental programs are other factors that can drive up your pricing. And remember, always do your research… especially when you have a limited budget for a trade show.
